Description of Sponsorship Items
Exhibition Space
The Exhibition Hall will be the meeting place of all delegates for tea breaks and lunches, as well as the welcome Reception. Delegates will have the opportunity each day to visit the exhibitors who are involved in the Health Informatics Industry.
Complimentary Registrations
A full registration entitles the sponsor to all conference plenary and parallel session, social events, lunches and breaks.
Sponsorship Procedures
Confirmation
- Upon approval of the application, written confirmation of sponsorship level, benefits, space assignment, invoice for payment and all necessary information will be provided by the Conference Secretariat, The Conference Company.
- Should you require additional Exhibition Space other than what was allocated, please advise the Conference Secretariat in writing immediately. Any further monies owed are due on presentation of the invoice.
Booking Policies
- Sponsorship and Exhibition Stand Confirmation – We cannot confirm assignment and confirmation until we have received full payment. Upon acceptance and approval of an application for sponsorship, the assignment of the exhibition space and confirmation of sponsorship details, will be confirmed in writing by the Conference Secretariat.
- Cancellation – Should you wish to cancel your sponsorship, notification will only be accepted in writing.

Exhibition Stand Costing
R13,680.00 per 3m x 3m stand includes the following:
- Daily housekeeping – hoovering of the aisles and general cleaning: PLEASE NOTE: It is the responsibility of the exhibitor to ensure that they keep their designated exhibition area clean and in an orderly fashion for the duration of the show.
- A company listing in the conference programme: to include company contact details and product description (40 words maximum).
- Complimentary Conference Registration:
1 Exhibitors Registrations including, lunches and teas, cocktail reception ticket, congress bag and programme.

Your Exhibition space does NOT include:
- Shell Scheme
- Transport and freight costs, storage, special materials, carpets or furnishing apart from what has been specified.
- Telephone, computer and data lines.
- Security solely for your own booth.
- Details regarding available freight forwarding, storage, furnishings etc. will be provided to you in the Exhibitors manual.
Exhibition Space Allocation / Confirmation Policies
Exhibition space will only be confirmed once the exhibitors application form and money has been received. The Exhibition space is allocated on a first come first served basis. A number of the Exhibition Stands will be held for sponsors. These sponsors will have priority over exhibitors.
